Spotlight: Eliminating Missing Inspections with Tap Report

"It's much easier to have oversight and be able to take correct action."

Name and position

Shane B., Regional Senior Manager for Security and Life Safety Services, QuadReal Property Group

What do you use Tap Report for?

We use Tap Report for recording inspections and checks, including noted deficiencies, for fire extinguishers, fire hose cabinets, first aid kits, ear plug stations, eye wash stations, spill kits, and sprinkler valves. We had started with our fire extinguisher inspections and expanded from there.

As a manager, what do you find most valuable about Tap Report?

The electronic recording of information and ability to produce professional reports for audits and presentation purposes, as well as confidence that inspections and checks are being completed on time per their required frequency. It's much easier to have oversight and be able to take correct action.

How did you organize inspection records prior to using Tap Report?

Paper forms and trusting that security personnel were attending all locations that were required. It was a time consuming audit process that involved Supervisors randomly checking to see if Security Officers were completing their work properly and on time.

What do your staff like most about using Tap Report?

Electronic reporting. There's no need to carry and fill out paper forms; information is at their fingertips to guide them to each location they must visit.

What do you think has improved the most?

More efficient workflow, less time spent conducting audits, ability to trust but verify inspectors work, and not receiving any complaints for missed checks and inspections from tenants.

How has Tap Report increased your compliance?

When we were using paper forms, checks and inspections were being missed and we'd receive complaints from tenants. Health and safety inspections by third party companies revealed incidents of non-compliance, and issues were not being identified or addressed throughout the inspection process. Electronic reporting through Tap Report has eliminated these issues at our properties.

How has Tap Report improved your service to tenants?

We are not receiving complaints from them anymore due to missed inspections.
